General Booking Terms
(Applies to all bookings)
1. The Contract and Legal Framework
- Who We Are and Who You Are: “We,” “Us,” or “Ringweekends” refers to Ringweekends Ltd, a company registered in the UK. “You” or “Your Party” refers to all persons named on the booking.
- Party Leader Authority: The first person named on the booking (the “Party Leader“) must be at least 18 years old and is authorised to agree to these T&Cs on behalf of everyone in the party. The Party Leader is responsible for all payments.
- When the Contract Starts: A legally binding contract begins when we send the confirmation invoice to the Party Leader.
- Governing Law and Jurisdiction (CRITICAL): This contract and all matters arising from it are governed by English Law. We both agree that any dispute will be dealt with exclusively by the Courts of England and Wales (or the courts of Scotland/Northern Ireland if you are a resident there).
2. Payments, Changes, and Transfers
- Payment: You must pay the amount required at the time of booking. If we do not receive all due payments (including any final balance) on time, we reserve the right to treat your booking as cancelled by you, and the relevant cancellation charges will apply.
- If You Change Your Booking: If you wish to change any booking detail (e.g., dates or participant names), we will do our best to accommodate the change, but approval is not guaranteed.
- Amendment Fee: Any permitted change will incur an Amendment Fee of £35.00 per change, plus any additional fees charged by our third-party suppliers (e.g., hotels or ferry companies).
- Ticket Transfer Policy (CRITICAL): Tickets and booking confirmations are non-transferable and non-refundable. You may not sell, trade, or transfer your booking or ticket to another person without our express written permission. Only the Party Leader can submit a request for substitution, and we reserve the right to approve or refuse the new participant.
3. Cancellation Policies
- Track Day Cancellation: We do not issue cash refunds for Track Days under any circumstances. We may issue credit notes as a gesture of goodwill if a cancellation request is received a minimum of 10 clear working days before the event. Credit notes expire 12 months from the date of issue and must be declared at least one month before the new event date.
- Touring Holiday Cancellation: If you cancel a Package/Touring Holiday (including accommodation), a minimum charge of £35 applies, plus any fees charged by our third-party suppliers. If your reason for cancellation is covered by your personal travel insurance, you may be able to reclaim these charges from your insurer.
- Adverse Weather: Where an event is shortened, amended, or cancelled due to adverse weather conditions or circumstances beyond our control, no refunds can be issued. We may issue credits for future similar events as a gesture of goodwill. Click here to see our bad weather policy.
4. Liability and Indemnity
- Public Roads: We cannot accept any liability for driving errors, accidents, breakdowns, or incidents while you are travelling on public roads (including en route to/from the Nürburgring). You must ensure your vehicle is road legal and insured for all countries you pass through.
- Limitation of Liability (Waiver): When you book an event, you agree to the Track Day Declaration & Indemnity (Waiver) (see Part B). You explicitly waive, release, and discharge Ringweekends, its officers, employees, and agents from all claims for damages, injuries, death, or loss sustained directly or indirectly from your participation.
- Force Majeure: We regret we cannot accept liability or pay compensation where the performance of our contract is prevented or affected by “Force Majeure.” This means any event we could not foresee or avoid, such as war, civil strife, industrial dispute, terrorist activity, natural disaster, adverse weather, or technical problems with transport.
Part B: Track Day & Event Rules
These rules apply to everyone driving or riding as a passenger at a Ringweekends Ltd track event.
- Mandatory Waiver: All participants (drivers and passengers) must agree to and sign the relevant waiver before being allowed onto the circuit.
- Track Rules and Exclusion: You must always follow the official Track Rules and any instructions given by our staff or track officials. If you fail to do so, we will ask you to leave the event immediately with no refund.
- Circuit Damage Liability (CRITICAL): The person or company that made the vehicle booking is fully responsible for the cost of any damage caused to the circuit, barriers, or venue property by that vehicle, regardless of who was driving that vehicle.
- No Claims Against Other Participants: You agree to make no claim against any other participant for any damage to your vehicle, property, or person caused by them during the event. You accept that all participants drive at their own risk.
- Vehicle Insurance: There is NO requirement for vehicle insurance on these events. You should not expect your normal road risk insurance to cover you or any third party in the event of an accident. You participate at your own risk. Click here for more information on Nurburgring insurance.
- Vehicle Requirements:
- The minimum engine size is 1200cc.
- Your vehicle must meet the absolute noise limit of no more than 128 dB.
- Failure to comply with these rules will result in refusal of entry or immediate exclusion with no refund.
- Team Restrictions: NO RACE TEAMS or TAXIS are allowed, unless with the express written permission of the organiser IN ADVANCE.
Part C: Package Holiday & Travel Terms
(These terms only apply if your booking includes accommodation or travel services.)
- Our Role: We arrange travel and accommodation as agents for the respective service providers. Once confirmed, we also act as the “Organiser” under the UK Package Travel Regulations 1992.
- Price Changes (Surcharges): The price of your package is subject to increases in transportation costs (e.g., fuel) or extreme fluctuations in exchange rates. We will absorb costs equivalent to 2% of the event price.
- If a surcharge exceeds 10% of the event price, you will be entitled to cancel your event with a full refund (excluding amendment charges), provided you exercise this right within 14 days of being notified of the surcharge.
- Insurance and Documents:
- Personal Travel Insurance: It is strongly recommended you have adequate personal travel insurance for the duration of the event, including medical insurance. A European Medical Card or UK Global Health Insurance Card (GHIC) is also strongly recommended.
- Driving Documents: You are responsible for ensuring you carry your driving licence (paper and photocard), vehicle registration documents, and insurance documents, as required by all countries you pass through.
- Special Requirements: If you or any member of your party has any specific medical need, disability, or special request, you must tell us before booking so we can advise on the suitability of arrangements.
